You know you've got problems when each of the voices in your head sees a different psychiatrist.

Our team has what we call the "Big Ol' Binder" which was originally filled with lots of multi-page text documents and a couple of sketches of ship designs. Everytime I drew a ship at three in the morning in the back of napkin or whatnot, into the binder it would go. Ditto with the other team members story outlines and descriptions. When we started work on the graphics and story for our TC, our graphics guy would clip whatever half-baked concept art I'd done to the computer he was working on, and put the rest back into the binder. A lot of the stuff I did that ended up in the binder was confusing or eventually dropped, but the rest of the team insists that it remain in the binder as a reminder of my shame. So having a paper trail when we started allowed us to keep track of our ideas as well as blackmail team members. It's a win-win situation.

For my part, writing things down and sketching things out is ultimately important. It allows you to set in stone a phase of your development, and then evaluate it. It also means other people can view my work in it's entirety and draw their own conclusions - particularly with my plot work. My back-stories tend to go into a lot of depth; I find that once you can make a race's profile hold water, and you can say why they've come to the point their currently at, any further story line more-or-less writes its self.
